1.0 Purpose:
The purpose of this document is to set out the procedure to be followed in the event of a fire alarm activation in Langton Hotel Ltd. This procedure is designed to ensure the safety of people in buildings during fire by co‐ordinating and controlling building evacuations until the appropriate emergency services arrive.
2.0 Scope:
This procedure covers all fire alarm activations throughout Langton Hotel Ltd.

4.0 Responsibilities:
4.1 Management Responsibility:
Department Managers Responsibility:
The persons responsible for the implementation and management of emergency evacuation procedures are those with appropriate management authority over the particular Department and Staff within Langton Hotel Ltd.. For these procedures the responsible person will be the acting Department Manager. The Langton Hotel Ltd. departments are listed above.
Department Managers requirements:
- To promote general fire safety
- To ensure that their staff attend fire safety awareness training
- To ensure fire safety housekeeping inspections
Senior Management Responsibility:
- To promote fire safety awareness and a positive health and safety culture at Langton Hotel Ltd.
- To ensure that all staff attend fire safety awareness training
- To ensure, in consultation with staff that a sufficient number of trained Fire Wardens are available
- To ensure that all fire safety housekeeping inspections are carried out
- To receive and investigate reports of fire safety issues which may arise during the housekeeping inspections and to follow up with the corrective measures
- The regular inspection and maintenance of all active and passive fire safety systems.
- Recording details of all alarm activations (false alarms / genuine emergencies) and their probable cause
- Scheduling evacuation drills
- Fire alarm system testing
- Co-ordination, implementation and review of Emergency Evacuation Procedures
- Liaison with Emergency Services to maintain emergency preparedness
- Prepare a PEEP procedure in the event of persons needing assistance in evacuation.
4.2 Fire Wardens Responsibilities:
- Carry out the duties in the event of an emergency as described in these procedures
- Carry out daily inspections of fire evacuation routes and fire exits
- Carry out daily inspections of fire points to ensure access
- Remove without delay and fire obstructions
- Report any fire hazards, evacuation hazards and unsafe conditions
- Attend Fire Warden Training
- Attend a debrief following a fire or a fire drill
- Report any evacuation issues discovered during a fire or a fire drill
4.3 Security Staff:
- Security staff are responsible for securing the building until the Fire Service arrives
- Assisting in the evacuation of the building
4.4 People who may need assistance:
Hotel guests/customers and members of staff who may need assistance in emergency evacuation should inform Langton staff and discuss a PEEP – Personal Emergency Evacuation Plan
5.0 Fire Alarm System:
Fire Alarm systems are provided throughout Langton Hotel Ltd. for the safety of all persons on the premises. The primary obligation of all persons on the premises is to evacuate if the alarm is raised. Certain staff (Fire Wardens, Fire Marshalls, Security Staff) will have additional obligations as set out in this Emergency Evacuation Procedures document.
6.0 Emergency Procedures in the Event of Fire:
6.1 Any person discovering a fire shall
- Activate the nearest Fire Alarm Break Glass Unit immediately
- Extinguish the fire if they are confident, trained and it is safe to do so
- If they do not attempt to fight the fire evacuate immediately via the nearest available Fire Exit and:
- Inform Langton staff of the fire location
- Proceed to the nearest Fire Assembly point Car Park, or Johns Street
6.2 On Hearing the Fire Alarm all occupants:
- Evacuate the building as soon as the alarm sounds.
- Evacuate immediately via the nearest available Fire Exit
- Comply with all directions given by Fire Wardens
- Where possible assist less able bodied persons to evacuate to safety
- Proceed to the Fire Assembly Point for the building
- Do not wait to conclude meetings or telephone calls or to collect belongings.
- Close doors behind you as you leave if appropriate
- Switch off any equipment if possible and close windows
- Do not re-enter the building until the Fire Service Officer in charge declares it is safe to do so.
6.3 On Hearing the Fire Alarm, Fire Wardens:
- Put on Hi Viz Vest and pick up checklist
- Sweep designated area towards the exit
- Communicate the need to leave the building
- Direct persons to the nearest available exit
- Close doors and windows and turn off equipment if possible
- Check all areas designated using checklist
- If a person refuses to leave, is trapped or unable to evacuate carry on with evacuation and report the situation to the Fire Marshall/Fire Service personnel
- When sweep of designated area is complete proceed to nearest Assembly Point
- Report to the Fire Marshall
- Attend debrief meeting after the fire
6.4 Fire Marshalls:
- Establish the location of the fire
- Ensure the fire service have been called
- Assist in evacuation of the building
- Designated Fire Marshalls will liaise with Emergency Services
- Liaise with Fire Wardens to ascertain if any persons are unaccounted for and report situation to the Fire Service.
- Report to the Emergency Services anyone unaccounted for or known to be inside the building
- Designated Fire Marshalls will attend Assembly points and take role call
6.5 Persons evacuating those who need assistance:
- Allow crowds to exit first
- Do not lift anyone downstairs, use Evac chair
- Keep the person calm, talk quietly and explain what is happening
- Report to the Assembly Point
